Who we are
This website, arcanamarketing.co.uk, is operated by Arcana Marketing. This policy explains what personal data Arcana Marketing collects when you visit this website or get in touch with us, why we collect it, how we use it, and the rights you have over it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Arcana Marketing is the data controller for the personal data described in this policy.
The data we collect
We collect personal data in two ways: directly, when you fill in our contact form, and automatically, through analytics when you browse the website.
Information you give us directly
When you complete the contact form on this website, we collect:
- Your name
- Your brand or property name, if you provide one
- Your email address
- The situation you select from the context options on the form
- Any further information you choose to write in the message field
This information is submitted through Formspree, a third-party form processing service, and forwarded by email to Arcana Marketing's inbox. Formspree processes this data on our behalf as a data processor. You can read Formspree's own privacy policy at formspree.io/legal/privacy-policy.
Information collected automatically
This website uses Google Analytics to understand how visitors use the site, including which pages are viewed, how long visitors stay, and which device and browser they use. Google Analytics collects this information using cookies, described in full in our Cookie Policy.
Google Analytics data is processed by Google Ireland Limited and may be transferred to and processed in the United States. Google acts as a data processor for this purpose. You can read Google's privacy policy at policies.google.com/privacy.
Why we use your data, and our lawful basis
| Purpose | What we use | Lawful basis |
|---|---|---|
| Responding to your enquiry | Name, brand/property, email address, situation selected, message content | Legitimate interests, in providing the service you have asked for by submitting the form |
| Understanding how the website is used, to improve it | Analytics data collected via Google Analytics cookies | Consent, given through the cookie banner on your first visit |
We do not use your data for automated decision-making or profiling, and we do not sell or rent your personal data to any third party.
How long we keep your data
Enquiry data submitted through the contact form is kept for as long as is necessary to respond to your enquiry and for a reasonable period afterwards, to allow for any follow-up conversation, and not normally beyond 24 months from your last contact with us, unless a live engagement requires it to be kept for longer.
Google Analytics data is retained according to the retention settings configured in our Google Analytics account, which currently is 14 months from the date of collection, after which it is automatically deleted by Google.
Who we share your data with
We share personal data only with the third-party processors needed to operate this website and respond to your enquiry:
- Formspree, to receive and forward contact form submissions
- Google (Google Analytics), to understand website usage, where you have given consent
We do not share your data with any other third party, and we do not transfer it for marketing purposes to any organisation outside Arcana Marketing.
International data transfers
Some of our processors, including Google, may store or process data outside the UK, including in the United States. Where this happens, we rely on the processor's compliance with UK-approved safeguards, such as the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, or the equivalent mechanism in place at the time of transfer.
Your rights
Under UK GDPR, you have the right to:
- Ask us what personal data we hold about you, and request a copy of it
- Ask us to correct any personal data that is inaccurate or incomplete
- Ask us to delete your personal data, where there is no good reason for us to keep using it
- Ask us to restrict the processing of your personal data, in certain circumstances
- Object to our processing of your personal data, where we are relying on legitimate interests
- Withdraw your consent at any time, where we are relying on consent, such as for analytics cookies
- Request that your data be moved to another organisation, in certain circumstances
To exercise any of these rights, contact us using the details below. We will respond within one month, as required by law.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, if you believe we have not handled your personal data in line with the law. You can reach the ICO at ico.org.uk or by calling 0303 123 1113.
Keeping your data secure
We take reasonable technical and organisational measures to protect the personal data we hold against unauthorised access, loss, or misuse. This website is served over HTTPS, and our hosting and form-processing providers maintain their own security measures, set out in their respective policies linked above.
Changes to this policy
We may update this policy from time to time, to reflect changes in the website, our processors, or the law. The date at the top of this page shows when it was last revised. We encourage you to review it occasionally.
